The GIST workflow utilizes email routing to streamline acquisitions processing, send emails (which are recorded within ILLiad), and automate requests from start to finish. This allows you to both update a request’s status and email the user at the same time, using email templates that you can customize (Tip: name each starting with Acq to keep them clearly separated from your ILL email routing). For more information about email routing, see the Atlas Documentation.

One of ILLiad's best features is the routing rule. Routing rules are queries that will automatically change the status of requests based upon certain conditions. You can implement as many routing rules as you'd like, so long as they don't conflict with one another. By creating custom queues, you can have requests routed to special statuses unique to your workflow. GIST utilizes both custom queues and routing rules to enable distinct acquisitions and ILL workflows within ILLiad.

This brief guide will show you how ALIAS works within the ILLiad client.

The Basics

The ALIAS process is actually really simple. When a user submits an article request that has both a date and an ISSN, ALIAS will try to process the request automatically (much like Direct Request does with loans). There are three possible results:

The Lending Availability Service replaces the old E-Journal Availability Server. Now when you search for your e-journal holdings and license permissions, you will now only be presented with the holdings for your library. These holdings are database specific: for each resource, you will see your lendable holdings and whether or not ILL is permitted, denied, or has conditions.

Benefits of ALIAS

	* Reduced staff time processing requests
	* Impact on server is minimal
	* No maintenance required
	* IDS Service adds notes to requests when unsuccessful (i.e. No ISSN, Not a Valid ISSN, No Holdings, etc.)

GIST was developed at the State University of New York College at Geneseo with an eye toward converging ILL and Acquisitions workflows and user interfaces, while leveraging the strengths of various workflows and systems. Beware: GIST was designed to tran…

ILLiad’s Document Delivery (Doc Del) Module is useful for distance education or paging services, however, it is not a fully mature module, for example, CopyTitleToClipboard is not a feature available in the Doc Del module. ILLiad Version 8 promises to significantly improve the Doc Del workflow, however, there are several things you can do to improve the Doc Del operation. Most important is the service design, then it’s the use of the Odyssey Helper and the AutoHotKey macro program, and finally,…
